Legal Secretary/Admin Assistant

General practice firm seeking a legal secretary/admin assistant to join their team

Full-time/part-time - Full time permanent (part-time may be considered)

The role/responsibilities:
• Maintaining effective file management
• Opening new clients and capturing new business
• To provide reception cover
• Responsible for the organisation and provision of secretarial duties and support within the office and for two partners. This will include, photocopying, word processing, mail management, file maintenance and the preparation of legal documents
• Assisting Solicitors in the management of case-load by dealing with file related queries either face to face or by telephone.
• Ensuring that clients are dealt with efficiently and politely and that appropriate legal matters are raised with the Solicitor.
• Arrange appointments and business meetings, maintaining up-to-date diaries for partners
• Management and co-ordination of the Partners' billing and financial requirements which includes - proactive billing and credit control
• Taking appropriate action in relation to mail, telephone and other enquiries ensuring effective messaging and that the necessary follow up action is undertaken
Skills and experience
• Must possess excellent diary management, organisation and prioritisation skills.
• Must be able to communicate effectively and build good relationships with clients and staff within the firm.
• A good team spirit with proven team working skills.
• Basic to intermediate IT with knowledge of Word, excel and database programmes.
• Must be a competent, fast and accurate typist.
• Must be competent at producing documents quickly and to a high standard.
• You will also offer strong communication skills, be able to read and interpret information accurately and concisely; be confident to listen and gain clarification, respond to inquiries quickly with professionalism and tact, write clearly and informatively and edit work for errors.
• Able to work independently and take responsibility
• Take direction well and work under pressure
